Creating a Signature in Outlook Desktop App:
1- Open Outlook: Launch the Microsoft Outlook desktop application on your computer.
2- Access Signature Settings:
For Outlook 2019, 2016, and 2013: Click on "File" in the top-left corner, then select "Options." In the Outlook Options window, click "Mail" in the left pane, and then click the "Signatures" button.
For Outlook 2010, Click "File" in the top-left corner, then select "Options." In the Outlook Options window, click "Mail" in the left pane, and then click the "Signatures" button.
3- Create a New Signature:
1- In the Signatures and Stationery window, click the "New" button.
2- Enter a name for your signature (e.g., "Personal" or "Work") and click "OK."
4- Edit your Signature:
In the Edit Signature box, type your desired signature. You can include your name, title, contact information, website, and any other details you want to appear in your signature.
Format your signature using the available options for font, size, color, and style.
5- Set Default Signature (optional):
If you have multiple signatures and want to set one as the default for new emails or replies, use the "New messages" and "Replies/forwards" drop-down menus to choose your preferred signature.
6- Save and Apply:
Click "OK" to save your signature settings.

2- Access Settings:
After logging in, click the gear icon ( •) in the top-right corner to open the Settings menu.
In the Settings menu, click on "View all Outlook settings" at the bottom. (Optional, May not be on the new version on outlook)
3- Create a New Signature:
Click on "New signature" to create a new signature. Or If you already have a signature, you can edit it.
After creating your signature, click the "Save" button at the top/bottom of the Settings window to save your changes.
6. Select Default signatures:
Go to the default signatures section. Select the name of the signature you created to make your newly created signature the default signature when you compose new emails or reply/Forward emails automatically.
For New Messages: Select your signature name (the name you chose in step 4)
For Replies/Forward: Select your signature name (the name you chose in step 4)
Click Save.
Now, your signature is set up in both the Outlook desktop app and Outlook on the Web, and it will automatically be added to your new emails. Remember that you can customize or update your signature at any point in time by following the same steps.
